June 2016 setup at BCSME

At Western Rails we discussed arranging a setup in June to test the layout before Indianapolis.

The BC Society of Model Engineers has a live steam setup at Confederation Park in Burnaby, BC. They are open to the public from Easter to Halloween. They invite modular groups to setup and display in their Rainbow Creek Station building in the park.

There are two issues to decide upon: Date and length.

We decided to ask for Sunday June 12, however I discovered this week that is Vancouver Maker Faire weekend and I would like to be there. I would prefer to move to the 19th if that is OK with the other members.
I had thought of moving a week earlier to the 5th but that is inventory weekend and I would not be available.

The other question is how long to run.
We can setup Friday evening and run Saturday and Sunday if we wish.
Or we can setup Sunday morning and just run Sunday. The BCSME would prefer we run both days.

On the original weekend we have requested I may be able to get the Saturday off and make some time one of the days to get to the Maker Faire.
On the later weekend I would only be available the Sunday.

There is basic food service available at the park and trains to ride.

So Terry, Bjoern, Tibi and whoever else could make it there, what do you think?

Both weekends work for me. I also wouldn't mind setting up on the Friday and play on both days. While this would be the rehearsal for the TT-Tracks I would not bring the GuiTTar case. This would give me some time with the layout. We still have one corner module left that we could use for this setup. So we can place the reverse loop where the guiTTar case usually goes.
Bill, if you need some help with the modules (landscaping, buildings, electrics ...) just let me know.
You gotta do much more than believe if you really wanna change things!

Both weekends work for me, too. I favour Friday - Sunday.

I have changed the booking to both Saturday and Sunday (June 11 and 12) with a possible setup Friday night.

I had hoped to be able to get the Saturday off but due to an anticipated, but not right now, change in family circumstances, it is highly unlikely that will happen.

We need to be up and running by 11 AM. Should be no problem for us.

I will post more when I hear back from the BCSME.

I received the following from the BCSME:
Bill, I have reserved 11 and 12 June for your TT-scale layout

On the subject of times, we are open to the public from 11 am to 5 pm, and so would
expect you to have completed your setup by 11 am on Saturday, and not to start taking down
until 5 pm on Sunday.

In particular, we do not allow vehicles on site while we are open to the public.

We would be very pleased to arrange access on Friday evening, if that would help.

So we are good to go for a two day event.
Friday setup would be after 7 PM for me.

Too soon to know if I could break free on Saturday, won't know until much closer to the event.
Sunday I will be there most of the day, maybe all day. Depends on whether I try to get to the Vancouver Maker Faire at opening (10 AM) for a quick visit.

Again will have a better idea closer to the event.
Need to to do some advance planning late May/first week of June.

Both the Friday set-up and the two-day show work for me. Looking forward to it.

Having heard of a few scheduling issues at the BSCME, I dropped by this and last weekend to make sure things were on track.

We are confirmed for a setup Saturday June 11 and Sunday 12.
If we want to setup the evening of Friday June 10 we need to give them some advance notice.

We can setup a display up to 12' x 24 long.

I still do not know if I can be available on the Saturday but given how slow things have been in the store Saturdays I think it is possible.

Been doing a bit of planing for the setup to see what kind of display we can make in our available area.

The first plan uses more modules but does not allow easy access to the crossovers on module 7.
The second plan uses fewer modules but allow access to the crossovers. As well it gives us a bit of a dead area to put our stuff.

Both plans assume that Bjoern has his new module ready, that I have new modules 30, 31 and 32 ready (30 and 31 are in the grass stage), and that Tibi has his modules ready to use (not necessarily completely sceniced).

My module will be ready! :thumbup:
Why not put the reverse loop on the long side in the back. We should have enough corner modules for this.
